The following email templates are set up for your account, branded with your logo and contact details.

Main Template

Trigger: Used in all email communications
Recipients: All Users

User - Welcome Email 

Trigger: A new account creation or resending welcome email
Recipients: All Users

High Privileged User Setup Alert

Trigger: Triggered when a new Director or Plan Manager is added by a Director or Plan Manager user. 
Recipients: Director

Forgot Password

Trigger: Triggered when a User forgets their password and uses the 'Forgot Password' link on the login page. 
Recipients: ALL

Forgot Username Email 

Trigger: Triggered when a User has forgotten their Username and uses the 'forgot Username' link on the login page.
Recipients: ALL

Two Factor Authentication Email 

Trigger: Triggered when a User is logging in and requires authentication, or when updating information such as Payment details which require authentication.
Recipients: ALL Users with 2FA enabled

User Account Locked

Trigger: Triggered after too many unsuccessful attempts to login.

Recipients: User attempting to login

Claim Approval Request

Trigger: Triggered when approval is requested on an entered claim.

Recipients: Nominated Approver (Participant, Carer, Support Coordinator, Contact)

Claim Approval Reminder

Trigger: Triggered when a claim has not yet been approved - sent daily at 4 AM until auto approved or manually approved/rejected.
Recipients: Nominated Contact (Participant, Carer, Support Coordinator, Contact)

Claim Rejected - Invitation to approve/reject invoice

Trigger: Triggered when a claim has been rejected
Recipients: Plan Manager / Director

Claim Approval No Response Notification

Trigger: Triggered when no action is taken on the approval request before the end of the approval lead time
Recipients: Plan Manager / Director

Manual Payment Request

Trigger: Triggered when a claim does not have 100% NDIS acceptance for all lines
Recipients: Plan Manager, Director

Remittance Advice

Trigger: Triggered when a claim has been processed and paid and the remittance step is completed.
Recipients: Service Providers, (Participant email address for Reimbursements)

NB: To enhance user privacy and security, we are partially obscuring bank account details in the remittance advice emails related to Reimbursement claims. 

Monthly Plan Report

Trigger: Triggered on 1st day of each month at 1 AM.
Recipients: Nominated Contact (Participant, Carer, Support Coordinator)

Participant Plan Ended

Trigger: Triggered when a plan has expired or the end date has passed.
Recipients: Nominated Contact with 'Receive Plan Report'  selected (Participant, Carer, Support Coordinator)

Participant Plan Found

Trigger: Triggered when a plan has been updated from PRODA. Emails are generated at 6am
Recipients: Plan Manager, Directors

PACE Plan Reassessed

Trigger: Triggered when a PACE plan has been reassessed and new start and end dates have been received from PRODA. Emails are generated at 6am
Recipients: Plan Manager, Directors

Participant Plan Extended

Trigger: Triggered when a plan end date is extended in NDIS. Emails are generated at 6am
Recipients: Plan Manager, Directors

Expiring Plans Report

Trigger: Triggered when a plan is 90,60,30,1 days from expiration
Recipients: Plan Manager, Director

Warning Participants Report - Daily


Trigger: A warning participant list is sent on a daily basis at 4 AM
Recipients: Plan Manager, Director

Warning Participants Report - Weekly


Trigger:       A warning participant list is sent on a weekly basis Monday morning 4 AM.
Recipients: Plan Managers, Directors

Plan Budget Usage Warnings: Level 1, 2 and 3

Trigger:       A warning is sent when Budget usage exceeds the Agency-set thresholds.
Recipients:
Participants & Associated Contacts (Support Coordinators / Carers) who receive Monthly Statement Reports.

Service Agreement Budget Usage Warning

Trigger:       A warning is sent when claims for a Service Agreement exceed the agency-set threshold.
Recipients:
Directors, Plan Managers

Participant Registration Acknowledgement

Trigger:       A registration request submitted via the online Registration Form.
Recipients:
email address submitted in Registration form.

Participant Registration Notice

Trigger:       Online Registration Form submission.
Recipients:
Directors.

Participant Association

Trigger:       New association created for a Participant with a Support Coordinator or a Carer
Recipients:
Support Coordinator / Carer.

Payment Data Change alert

Trigger:       Payment details updated on either a Participant or a Provider Details page
Recipients:
Directors

PRODA Device Expiration Notification

Trigger:       PRODA Device will expire in 7 (seven) days
