Planability App - Release Date: 31 July 2024

The Planability App is easily accessible for download from both the Apple App Store and Google Play Store. It has been specifically designed for Participant, Carer, and Support Coordinators users.

To assist Planability App users, we have developed a comprehensive Planability App User Guide. You are welcome to share this guide with your Users, and it is also accessible to them through the Help link within the App. We recommend you also review it so that you are familiar with the features the App offers.

Director users and Plan Manager users do not have access to the Planability App. In addition to the User Guide, the additional information below may help you better support your app users.

How does a User access the Planability App?

Search and download the Planability app from the Apple App Store or Google Play Store:

Participant, Carer and Support Coordinator users with an active Planability User account will be able to log in to the Planability app using their current credentials.

Users accessing Planability for the first time will need to log in via the link in their Welcome Email The link will open in their web browser to create their password and finalise their log in steps. They will then need to close their web browser, open the Planability App and log in.

For all active Planability Users, upon first log in to the app, they will need to follow the steps below:

1. Log in with existing Planability user credentials: Username and Password 2. Enter the Two Factor Authentication code sent to the selected email or mobile number 3. Create and confirm a 4-digit PIN. This PIN will be used for future secure access to the app 

How is access to the app permitted or removed?

Control access for a Participant

The 'Grant Portal Access' field of a Participant profile controls whether or not the Participant account is enabled for access to Planability - either via the app or web browser. 

To edit the setting, select Edit from the context menu at the top right of the Participant Details page.

Control access for a Carer or Support Coordinator

Carers and Support Coordinators will be able to login to the Planability app to view all associated Participants and their Plans.

NOTE: Support Coordinators are often associated with Participants from more than one Agency. You can remove access to a Participant but you can not remove access to their account.

Troubleshooting

What mobile devices will the Planability App work on?

The app will work current devices with Apple iOS 12 or higher and Android 6 or higher.
The operating system requirements can be viewed on the app details in the app store or google play store.

A first time user is having trouble logging into the Planability App

Check that the user is entering their User Name (not their email address) in the username field. 
Check that the user is entering their password correctly. This is case sensitive.

They can use the 'Forgot Username' or Forgot Password' options from the login screen if required. Both options will take them through the existing flow - sending them an email with their username, or a link to create a new password.

Can a User change their Password or PIN from the app?

Yes!  Once they are logged in, they can change their Password or PIN by selecting the options from their Shield icon in the top right of the screen. 

Planability App Users aren't receiving Push Notifications

When installing the Planability App, the mobile device may prompt the user to allow Notifications. First, check the device's permissions for the Planability App to ensure Notifications are enabled.

Each App User can then control which Notifications they receive from the App.

This is managed from Notification Settings in their Profile Menu

How do I associate Carers or Support Coordinators to multiple Participants?

Can users approve Invoices from the Planability App?

Yes! If they are the selected approver for a Claim they will be able to approve it from the App.

And, if they have the Push Notification 'Notify when a claim is pending approval' ON, they will receive a notification from the App. Clicking on the notification will take them straight to the invoice.

How do I know if a User has received a notification to approve/reject an invoice?

The User will continue to receive an email reminder from Planability. They can use the link in the email to view the claim, but if they are using the app, they can view the claim details and approve it from the App.

Can users edit or update any of the information shown in the Planability App?

Users can edit their own Profile information and Push Notifications settings, Password and PIN, and they can approve or reject claims if they are the selected approver.

What can a User see in the Planability App?
