Claims

Rejected Claims - visible to Participant, Carer and Support Coordinators

Participants, Support Coordinators and Carers are now able to view Claims in Planability that have been Rejected by an Approver. Visibility of claims had previously been restricted to those with a status of Submitted and/or NDIS Paid to prevent external users from viewing claims that are not yet finalised.

All Claims List - Filter Entry Method 

Use the Advanced Search Options to filter Claims by entry method: Manual; Scan; CSV; Bulk; Generated.

Cloned line item - Cloned GST type

When cloning a claim line, the Claim GST type will be cloned, so if the original claim line was GST Free, the cloned line will default to GST Free.

Delete a claim from the Claim Details page

You can now delete an Entered claim from the Claim Details page. 

The Delete option is below the last item on the page so will be below the Added Services if claim lines have been entered.

You cannot delete a claim that has been submitted to the NDIS.

Batch Claims used to submit claims with >20 Claim lines

If a claim has more than 20 Claim lines it will be submitted as a batch claim. This prevents any time-out issues that may occur on very large claims.

No action is required from the Agency to manage this. The claim will submit immediately as a Batch when you click to submit the claim. 

General

Edit NDIS Identifiers

Directors and Plan Managers are now able to edit the Last Name and Date of Birth of a participant. The details must match the details with the NDIS for the change to be made.

If the NDIS Participants last name or Date of Birth have been updated by the NDIS they will need to be updated in Planability to connect with the Plan.

To update, navigate to the Participant Details Page and select Edit NDIS Identifiers from the menu at the top right. 

You may need to logout or do a hard refresh (CTRL + SHIFT + R) to avoid seeing the cached version of the Participant details.

Summary Report available to Directors

Summary Reports are now available to Director Users. (1)

The Summary Report shows the number of Plan Days remaining along with the Budget and amount spent in each Purpose. 

Directors and Plan Manager users with the elevated Permission - 'Sensitive Data Download' can export all budget data to a csv file (2). (OTP Verification is required). This export file contains budget information for each category - Total Budget; Allocated Budget; Spent; and remaining.

Category Numbers added to Service Booking and Service Agreement 

We have added the Category number to the listing of added Support Items in Service Bookings and Service Agreements. This will help identify the Categories selected.

Enhancement: PACE Participants Set Up Fees

Set-up Fees are automatically claimed when:

  • a Standard Service Booking is created for the Setup Fee (non-PACE Participant)
  • a Participant is added to Planability with available budget in an existing Standard Service Booking for the Setup Fee;
  • When a PACE Participant is first added to Planability.

For non-PACE participants, claiming the setup fee is controlled by the Standard Service Booking, but for PACE Participants this is not the case, which could result in a duplicate claim being created when they are new to the Planability system.

To avoid unintentionally claiming the setup fee for PACE participants, an Agency can update the Plan to define the Setup Cost as Claimed:

Updating the Setup Cost Claimed to 'Yes' after adding the participant will prevent the automatic creation of a claim.

PACE Plan Reviewed - Claim on prior dates

We have changed the validation in Planability so that when a PACE Plan is reviewed and the Plan dates are updated you will be able to claim for services provided prior to the review date. 

PROVIDER ABN Refresh

Update the ABN status of a Provider using the Verify ABN button on the Provider Details page.

The ABN status will be checked and updated automatically overnight, but if you need to update this earlier (to create a claim for instance) you can use this feature to call the API for an update to the business ABN status.

Monthly Statements - Send Plan Report by Post: Bulk Print Option and download to zip 

In June we introduced an opt-in setting to identify those participants who require a copy of their Monthly Plan Report (Statement) to be posted to them.

These participants and their generated statements are now listed separately under Reports > Statements - Postal

From the listing, you can download a zip file of all selected reports. The Reports will have an address page with fold lines.
